Free fundraising software: What's really free (and what catches up with you later)

Free sounds great when your nonprofit is trying to stretch every dollar. That is why so many organizations look for free fundraising software before investing in paid tools.

The problem is that not all free platforms work the same way. Some charge fees on every donation. Others lock important features behind paid plans or require extra tools for events, donor management, and reporting. 

What seems free at first can become costly as your fundraising grows.

That does not mean free options are a bad choice. Many nonprofits successfully use nonprofit fundraising software free of monthly subscriptions to raise funds and manage campaigns. 

The key is knowing what is truly included, what costs may appear later, and which platforms genuinely support no platform fee fundraising. Before choosing a free donation platform, it is worth looking beyond the marketing claims. 

Let's find out what “free” really means, the hidden costs nonprofits often miss, and how to choose a fundraising platform that works for both today and the future. 

The three versions of “free” fundraising software

When nonprofits compare free fundraising software, they often assume every free platform works the same way. In reality, there are three very different pricing models hiding behind the word "free." 

1. Truly free fundraising software

The rarest model in fundraising software is the one where the nonprofit pays nothing and still keeps the full donation. In this setup, the platform is funded through optional donor contributions or other outside support rather than fees charged to the organization.

BetterWorld's Free Forever plan works in the same way but gives organizations more control over how fees are handled. 

Nonprofits can ask donors to cover all fees, including the processing fee. BetterWorld also reports that 95% of donors choose to cover the processing fee, so your nonprofit keeps 100% of the funds raised.

Zeffy follows a similar approach. The platform is funded through optional donor tips, and if a donor chooses not to leave a tip, the nonprofit still receives 100% of the donation.

2. Freemium fundraising software

The second model starts free but becomes more expensive as organizations need additional functionality. The fundraising tools may be usable at no monthly cost initially, but advanced features, integrations, and support often require paid upgrades.

Donorbox is a good example of this model. Its Standard Plan is listed as free, but fundraising fees of 2.95% to 3.95% still apply. 

Organizations that need additional features can move to the Pro Plan, which costs $150 per month and includes advanced form customization, analytics, receipt whitelabeling, API and Zapier access, crypto and stock donations, and recurring giving upsells.

Donorbox also lists separate monthly charges for features and integrations such as Mailchimp, Salesforce, API and Zapier access, text-to-give, custom CSS, kiosks, and other add-ons. The key takeaway is that the free plan may only cover a portion of what a growing nonprofit eventually needs.

3. Free platform, hidden costs

This is the version of free fundraising software that catches many nonprofits off guard. The platform may advertise free signup or no platform fee fundraising, but that does not always mean donations arrive without deductions. 

In many cases, processing fees, transaction fees, or other charges still reduce the amount that reaches your organization.

For example, GoFundMe states that it is free to create and manage a fundraiser, but its pricing page lists processing fees of 2.9% + $0.30 per donation for standard fundraisers and 2.2% + $0.30 for GoFundMe Pro fundraisers.

These costs become more noticeable on smaller donations because flat fees take a larger percentage of the gift. Based on published fee schedules, a $25 donation processed through Givebutter with donor tips turned off (3% platform fee plus 2.9% + $0.30 processing) leaves approximately $23.23 for the nonprofit. 

That represents about a 7.1% reduction before any additional costs. A $25 event donation processed through Donorbox's 3.95% event fee plus Stripe's nonprofit rate of 2.2% + $0.30 results in a total cost of roughly 7.35%.

This is why many nonprofit finance teams find that 5% to 8% of revenue can disappear even when using a platform promoted as free.

For nonprofits working with limited fundraising budgets, those differences can represent a meaningful amount of money that never reaches the mission.

What a 5% leak looked like for one real nonprofit

True Blue 1881, a nonprofit that helps HBCU students with needs like meals, rent, and tuition support, is a useful real-world example. 

In its published case study, the organization says it originally used several payment tools, and its founder described fees as the biggest hurdle because each platform took a cut of donations. 

The group later reported $48,322 raised and $2,416 saved in the first year after switching, which works out to almost exactly 5%. Just as important, the organization said those savings went straight into rent support, meals, and outstanding student balances. 

That is the part boards sometimes miss. A 5% fee does not sound dramatic in a meeting. On the ground, it can mean fewer scholarships, fewer pantry boxes, fewer counseling sessions, or one less part-time staff member. 

If your fundraising program is growing, a fee model that looked harmless at $10,000 can become painful at $100,000. 

Zeffy and GoFundMe sound similar until you look at the fees

Many nonprofits use these platforms because both promote a free fundraising experience. The reality is that they use very different pricing models. One focuses on keeping donations intact through donor-supported funding, while the other charges processing fees on every gift.

The difference matters because two platforms can both advertise "free" while producing very different fundraising outcomes. When looking at a free donation platform, nonprofits should look beyond the signup cost and calculate how much of each donation actually reaches their mission.

Questions to ask before signing up for any free platform

Because online conversion is already tight and fee structures vary so much, the smartest move is to ask these hard questions before you import donors or launch a campaign. 

  • Does "free" mean no monthly fee, no platform fee, or no processing fee?
  • Which fees are still deducted from every donation?
  • If donors decline to cover fees or leave a tip, who pays?
  • What is our actual net revenue on a $25 gift, a $100 gift, an event ticket, and a recurring donation?
  • Are all fundraising tools included, or are important features locked behind paid plans?
  • Which features trigger monthly fees, paid upgrades, or add-on charges?
  • What happens to pricing if we remove the donor tip or donor-covered fee prompt?
  • How much would we pay at $25,000, $100,000, and $500,000 in annual fundraising volume?
