Zeffy is free. But is it enough? The scaling ceiling most nonprofits don't see coming

By Team BetterWorld on

Woman working on a laptop — feature image for Zeffy is free. But is it enough?

Zeffy deserves real credit. Its zero-fee model has changed what small nonprofits can expect from fundraising software, and many organizations can use it successfully for years.

Zeffy currently charges no platform, transaction, or credit card processing fees, which makes its pricing hard to beat.

But growth changes the question. As your nonprofit adds staff, campaigns, reporting needs, integrations, and more complex donor journeys, “Is Zeffy free?” becomes “Can it still support how we operate?”

That is often the point when teams begin researching Zeffy alternatives, comparing Zeffy vs other fundraising platforms, and looking beyond Zeffy pricing alone.

The challenge is knowing when a free platform is still helping your organization grow and when its limits are creating more work, weaker reporting, and missed fundraising opportunities.

How Zeffy stays 100% free

Zeffy pricing works differently from most fundraising platforms. It does not charge nonprofits a platform fee or pass payment processing costs on to them. Instead, Zeffy asks donors to leave an optional tip when they complete a donation.

For most gifts, the suggested tip is set at 17%. Donors can lower the amount or change it to $0. The tip goes to Zeffy, not the nonprofit. Zeffy uses these tips to pay card processing costs and run its platform.

The nonprofit receives the full donation even when the donor leaves no tip. For example, a $100 donation gives the nonprofit the full $100. Zeffy reports that about 60% of donors leave a tip, and the combined tips from many transactions help fund the service.

Nonprofits also have limited control over how the tip request appears. They cannot fully remove it or rewrite the message in their own voice.

Where Zeffy excels and who it works best for

Zeffy works well for very small nonprofits and grassroots organizations that need a quick and simple way to collect donations. With no setup fees or contracts, a nonprofit can launch a campaign in minutes without technical help.

Its main fundraising tools are available in one dashboard, including:

  • Online donation forms
  • Event ticketing
  • Raffles
  • Auctions
  • Peer-to-peer campaigns
  • Memberships
  • An online store

Zeffy is especially useful for PTAs, clubs, and small service charities with limited budgets and little or no IT support. Donors can use payment options such as Apple Pay, PayPal, and Venmo through one form. Basic CRM and email tools are also included.

For nonprofits running one-off campaigns or small events, Zeffy may provide everything they need. It also includes automated receipts and basic donor management for tracking gifts and thanking donors.

The limits become more noticeable when an organization starts running several complex campaigns at once or needs more detailed control over individual campaigns. That is often when nonprofits shift from pricing to capability and begin researching Zeffy alternatives.

What are Zeffy’s main limitations for growing nonprofits?

Zeffy can meet the basic fundraising needs of smaller organizations, but growth often brings more complex demands. Here are the main areas where Zeffy may start to fall short.

1. Zeffy’s closed ecosystem problem

Zeffy’s biggest scaling limit is how it connects with other systems. It does not offer a general developer API or deep native integrations. Most connections depend on Zapier, one-way syncs, or manual CSV exports.

For example, Zeffy can send payout summaries to QuickBooks Online, but the connection is limited. Changes such as account updates, expired access, or refunds may require manual fixes. Connecting Zeffy with a CRM, email platform, or analytics tool can also mean paying for Zapier or moving data between systems by hand.

As a nonprofit grows, this creates more admin work. Staff may need to export donation, registration, or ticket data, clean it in Excel, and import it into another platform. Donor updates also cannot be pushed dynamically into systems such as Salesforce.

Zeffy has similar limits around branding and team access. Organizations can add a logo and apply basic visual changes, but deeper form and portal customization may require code. All users can also see everything by default, so campaigns cannot be separated by department or staff role.

Zeffy also lacks tools such as text-to-give and advanced auction tracking. For nonprofits comparing Zeffy vs more connected platforms, these workflow gaps may matter more than Zeffy pricing.

2. Zeffy’s reporting ceilings and data blind spots

Zeffy provides basic dashboards and donation totals, but its reporting tools are limited for growing nonprofits. Teams may struggle to answer questions such as:

  • What percentage of donors were new this quarter?
  • How many donors gave again after donating last year?
  • How did giving break down by campaign or program?
  • What is our donor retention rate by cohort or gift size?
  • Which appeal or event produced the highest average gift or return on investment?

Zeffy does not include built-in cohort analysis or multi-campaign summaries. It is also difficult to create advanced donor segments, such as people who gave in three of the last five years or donated at least $500 in total.

Staff often have to export raw data, filter it manually, and build reports or charts in spreadsheets. Comparing recurring giving growth, event income, and online donations can therefore take more time and increase the risk of errors.

If your team regularly builds board reports and donor insights outside the platform, it may be time to review Zeffy alternatives with stronger analytics.

Signs you’ve outgrown Zeffy - A quick self-check

Check any statement that applies to your nonprofit:

  • You export donor or donation data more than once or twice a month.
  • Your board or funders request campaign, program, or donor segmentation reports that you must build manually.
  • You use extra tools for auctions, raffles, crowdfunding, or donation thermometers.
  • Your finance team manually reconciles Zeffy data in QuickBooks, Excel, or another system.
  • Your staff and volunteers need different access levels that Zeffy cannot provide.
  • You track recurring giving, donor retention, lifetime value, or cohorts outside the platform.

If you check any box, Zeffy may no longer support your nonprofit’s growing needs. It may be time to compare Zeffy alternatives based on reporting, integrations, permissions, and fundraising tools.

Beyond Zeffy: What a growth-ready platform offers

A platform built for growth should reduce manual work and give your team better control. Key capabilities include:

  • Open APIs and native integrations: Data connects directly with CRM, email, payment, and accounting tools, often with two-way syncing.
  • Advanced CRM and reporting: Teams can segment donors, track retention, identify lapsed supporters, automate outreach, and create custom reports.
  • Flexible campaign tools: More advanced platforms support multiple fundraiser types, branded donation flows, events, sponsorships, and text-to-give.
  • Detailed user permissions: Staff, board members, and volunteers can receive access based on their roles.
  • Stronger financial tools: Some platforms include budgeting, bookkeeping, expense tracking, banking, and grant management.
  • Dedicated support: Paid platforms may include onboarding, training, account management, and hands-on help.

These platforms may cost more, but they can save staff time, improve reporting, and connect fundraising, finance, and donor outreach in one system.

BetterWorld offers a free plan with a 0% platform fee, plus built-in tools for donations, events, auctions, peer-to-peer fundraising, donor management, and reporting.

For growing nonprofits, that can mean fewer disconnected systems and less manual work without taking on a large software bill.

When does Zeffy’s free model start costing your nonprofit more?

Zeffy can save your nonprofit 2% to 5% in donation fees, but its real cost may show up elsewhere. Donors may cover the platform through tips, while staff may spend more time exporting data, rebuilding reports, and reconciling accounts across separate systems.

Each extra hour of manual work has a cost. Limited reporting can also make it harder to spot donor trends or find ways to raise more.

To measure the full impact, look beyond the $1,000 raised and $1,000 received example. Calculate the staff hours spent managing data, the cost of other tools, and the donations you may miss because of checkout friction or limited insights.
